Privacy notice

What we collect when you book or get in touch, why, and how long we keep it.

West End Village Hall (registered charity 264528) is responsible for the personal details you give us on this website.

What we collect

  • When you book: your name, email, phone, address, organisation if any, and what the booking is for.
  • When you use the contact form: your name, email and message. We send the message on by email and do not store it on the website.

Why

To manage your booking, take payment, send you the confirmation, reminder and hirer’s guide, and keep the charity’s accounts. The legal basis is the contract you make when you book, and the accounting records charities must keep.

Who sees it

  • The hall’s volunteer trustees who handle bookings, each with their own login.
  • Stripe, which processes card payments. We never see or store your card number.
  • Our email provider, which sends our emails.

Cookies

The site uses no tracking or advertising cookies. Committee members who sign in to the dashboard get a login cookie.

How long we keep it

Booking records are kept for six years after the booking, as the accounts require, then deleted.

Your rights

You can ask for a copy of your details, or ask us to correct or delete them, by emailing admin@wevh.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk.
